Purpose:   

To work with the Leisure Manager in guaranteeing the smooth running of all excursions and transfers. This post involves the ability to help plan, manage and execute a successful excursion programme as well as ensuring all staff on excursions are thoroughly prepared for their task.

 

This role is also to assume all responsibilities and obligations expected of an Activity Leader.

Job Description

The role of Excursion Co-ordinator is an important one, directly concerned with the welfare and enjoyment of overseas junior students. This requires the post-holder to not only perform all the duties expected from an Activity Leader but to also work with the Leisure Manager in ensuring the successful execution of a full range of programmed excursions and transfers. There will be a strong emphasis on assisting the Leisure Manager with planning and overseeing the excursion programme as well as training staff and ensuring everyone on excursions (staff, students and International Group Leaders) have all the information they need.

 

The ideal Excursion Co-ordinator will be fun, energetic, outgoing and have the ability to lead and motivate a team of Activity Leaders. They will be very organised, motivated and have a strong working knowledge of the excursion destinations, excursion procedures, relevant airports and the school’s surrounding area.

Responsibilities & Tasks

  • To live on-site, board and lodging provided as part of the salary package, from three days prior to the start of the course until the last contracted day (which will include the night after students have left).
  • To carry out all tasks concerned with the setting up, administration and closing down of the course as advised by line management.
  • To lead a team of Activity Staff on excursions.
  • To lead and assist with arrival and departure airport transfers.
  • To be jointly responsible with the Leisure Manager for the smooth running of the excursion programme.
  • To assist the Leisure Manager in co-ordinating airport transfers to and from the summer school.
  • To assist the Leisure Manager in the allocation of staff to the excursion and transport programme.
  • To assist the Leisure Manager in all aspects of planning, improving and delivering the excursion programme.
  • To accompany and lead students on excursions, ensuring their well-being and safety.
  • To occasionally deputise for the Leisure Manager and be responsible for the leisure programme during that time.
  • To actively encourage students to take a full part in the leisure programme.
  • To lead students on activities.
  • To ensure that all aspects of the leisure programme run smoothly and safely.
  • To assist in daily administrative and pastoral tasks as requested by line management, including meal monitoring.
  • To assist students in being on time for meals, transport arrangements and all planned activities.
  • To assist all students, International Group Leaders and LAL agents to derive the maximum benefit from the course.
  • To protect the property and equipment of the designated host school and LAL, maintaining security and avoiding loss and/or damage in the residences.
  • To assist House Parents, where necessary, in ensuring students are in their accommodation on time for bed.
  • To provide House Parent cover if needed and there is no other possibility of cover from an Activity Leader.
  • To address any student, IGL or Host site representatives’ issues, complaints or suggestions by ensuring that the relevant LAL staff are made aware.
  • To act in a seemly and professional manner with all of LAL’s agents, clients and staff and not to engage in any activity which may bring LAL or the designated host school into disrepute.
  • To dress in a manner commensurate with the roles demanded of the position. To wear a uniform for activities/sports and excursions. Any uniform supplied by LAL is to be returned at the end of the course.
  • To carry out any other duties as may be reasonably assigned by the Centre Manager or Leisure Manager.
  • To read and be fully conversant with the employee handbook and all pertinent British Council requirements prior to the start of the period of employment (documents supplied prior to start of employment).

Person Specification

Essential

  • Educated to A-level or equivalent to UK level 4
  • Previous summer school experience
  • Good knowledge and experience of summer school excursions
  • Good knowledge and experience of summer school transfers
  • Good knowledge and experience of summer school transportation
  • Good knowledge of either sports and/or arts & crafts/performing arts
  • Good knowledge of the local and surrounding area
  • Experience of working with young people
  • Dynamic ‘can do’ approach to work
  • Endless energy and enthusiasm
  • Excellent communication and organisational skills
  • Ability to both lead and support a team
  • Responsible approach to working with juniors
  • Ability to work under pressure and supervise a team
  • Some knowledge of foreign cultures
  • Interest in activities and local culture
  • Clean criminal record

Desirable

  • NVQ (National Vocational Qualification) or equivalent in a relevant discipline; for more information on NVQs go to www.qca.org.uk/14-19/qualifications/index_nvqs.htm
  • Good working knowledge of at least one foreign language
  • First Aid certificate/Life Guard certificate
  • Computer literate
  • Driving licence
  • At least 1 year’s work experience in a similar role

Pay Scale and Other Information

Gross Basic Salary*                                                                   £285

 

Additional holiday entitlement 28 days per annum (pro rata) = 12.07% of hours worked based on Total Basic Salary, paid at the end of the contract where holiday has not been taken.

 

An additional £5 per week to basic salary for each qualifying point:

  • Sports Coaching or relevant non-sporting qualification or experience: 2 points (£10)
  • Previous other UK Summer School experience: 1 point (£5)
  • First Aid certificate**: 1 point (£5)
  • Previous experience in a similar role: 1 point (£5)


Total Gross Maximum weekly remuneration***                       £ 341.38

 

Returning Staff will receive:

An extra £15 per week Loyalty Bonus for their second year, with an additional £5 for each extra year they have worked at our summer schools, plus entitlement to our Early Bird Bonus and access to our Referral Bonus.

 

Working week = 5.5 days (up to 48 hours per week)

(overtime is not paid but excessive hours can be taken off in lieu in agreement with Summer Schools Operations Manager)

 

*Gross Basic Salary refers to Basic Salary plus Contract Completion Bonus (£25) upon successful completion of your agreed contract. Board (£30) and Accommodation (£33.11) allowances have already been deducted from this figu

All bonuses (Contract Completion, Loyalty, Referral and Early Bird) and expense reimbursements are subject to successful completion of agreed contract unless stated otherwise.

All amounts are gross (pre-tax and National Insurance Contributions), weekly and subject to statutory deductions at current rates.
