Purpose:   

To be responsible for all financial management, student registration and assist the Centre Manager/Senior Staff in all aspects of office administration at the designated summer school. This position involves working on weekends and other unsocial hours.

 

Organisation structure:   

To be supported by all staff appointed to work at the designated summer school and operational departments at LAL London. Please see LAL Staffing Structure at the bottom of this document.

 

Job Description

 

The role of Office Manager is one of high responsibility, directly concerned with the welfare and administration of overseas junior students, their money and important documents. This requires the post-holder to take overall responsibility for the financial and administrative management of the course and manage a small office subject to high volume and high-pressured workloads.  

 

The ideal Office Manager will be a capable and experienced book keeper and administrator. They will be highly organised and conscientious in regards to the safe keeping of student documentation. They will be able to work effectively in a highly pressurised environment.

Responsibilities & Tasks

  • To attend an expenses-paid induction day prior to the beginning of the contract (date and location to be confirmed) and to have read and be fully conversant with the employee handbook, relevant Child Protection issues and all pertinent British Council requirements prior to the start of the period of employment (documents supplied prior to start of employment).
  • To live on-site or in a host family, board and lodging provided as part of the salary package, from four days prior to the start of the course until the last contracted day (which will include the day after students have left). It may also be possible for the Office Manager to live off-site if access to the Summer School is convenient.
  • To carry out all tasks concerned with the setting up, administration and closing down of the course office as advised by line management.
  • To assist the Centre Manager in establishing systems for the effective management of the course office, including IT and telephonic communication.
  • To assist the Centre Manager and Leisure Manager in organising and maintaining staff, meal and other rotas.
  • To assist the Centre Manager in establishing systems for the managing of student pocket money, valuables, passports and flight tickets.
  • To manage the depositing and withdrawing of student pocket monies, course fees, sale of merchandise and other transactions on a day-to-day basis.
  • To manage flight tickets and passports pertaining to up to 320 foreign students.
  • To safe-keep valuables as requested.
  • To liaise with LAL Summer Schools Operations Manager on a regular basis and act as a hub for all communication, ensuring all messaging flows smoothly and promptly.
  • To liaise with the designated host school’s management and authorities as appropriate.
  • To assist the Centre Manager in all duties as required ensuring a high quality of administration.
  • To assist, if necessary, other senior staff with the maintenance and management of administrative files/documents.
  • To protect the property and equipment of the designated host school and LAL, maintaining security and avoiding loss and/or damage in the residences.
  • To be responsible for ensuring all details on student bookings are understood by the appropriate departments including welfare, academic and leisure.
  • To handle and account for petty cash on a day-to-day basis.
  • To actively promote the welfare of LAL clients, including agents and students at all times.
  • To address any student, International Group Leader or Host site representatives issues, complaints or suggestions by ensuring that the relevant LAL staff are made aware.
  • To act in a seemly and professional manner with all of LAL’s agents, clients and staff and not to engage in any activity which may bring LAL or the designated host school into disrepute.
  • To dress in a manner commensurate with the roles demanded of the position; smart casual for the office. Any uniform supplied by LAL is to be returned at the end of the course.
  • To be fully engaged in the rigours of summer school work.
  • To occasionally deputise for the Centre Manager in their absence.
  • To ensure, when not on duty, that the appointed deputy is appraised of all necessary information.
  • To carry out any other duties as may be reasonably assigned by the Centre Manager.

Person Specification

Essential

  • At least 1 year’s experience in an office environment
  • Meticulous and logical approach to work
  • Experience of handling large sums of cash
  • Experience of reconciling local accounts, both electronically and manually
  • Experience or understanding of safekeeping valuables in a professional environment
  • A good telephone manner
  • Patient and unflappable demeanour
  • Experience working with young people
  • A good level of computer literacy
  • A thorough understanding of 2003 Microsoft Office with particular emphasis on Word, Excel and Outlook
  • Dynamic ‘can do’ approach to work
  • Excellent communication skills
  • Responsible approach to working with juniors
  • Ability to work under pressure
  • Clean criminal record

Desirable

  • Educated to degree level or equivalent
  • Relevant NVQ in Office Administration, book-keeping or related field
  • Microsoft Office qualification
  • Some knowledge of foreign cultures
  • Knowledge of the flight and travel industry
  • Good working knowledge of at least one foreign language
  • First Aid certificate
  • Driving licence
  • Experience of working with banks
  • At least 1 year’s experience in an ELT environment
  • Knowledge of foreign cultures

Pay Scale and Other Information

Gross Basic Salary*                                                                  £370

 

Additional holiday entitlement 28 days per annum (pro rata) = 12.07% of hours worked based on Total Basic Salary, paid at the end of the contract where holiday has not been taken.


A further £5 to basic salary for each qualifying point:

  • Relevant Office Administration qualification: 2 points (£10)
  • Microsoft Office© qualification: 1 point (£5)
  • Previous Summer School Experience: 1 point (£5)
  • 2 years’ previous admin experience including cash handling in a professional environment: 2 points (£10)

Total Gross Maximum weekly remuneration**                      £440.43

 

Returning Staff will receive:

An extra £15 per week Loyalty Bonus for their second year, with an additional £5 for each extra year they have worked at our summer schools, plus entitlement to our Early Bird Bonus and access to our Referral Bonus.

 

Working week = 5.5 days (up to 48 hours per week) (overtime is not paid but excessive hours can be taken off in lieu in agreement with Summer Schools Operations Manager)

 

*Gross Basic Salary refers to Basic Salary plus Contract Completion Bonus (£35) upon successful completion of your agreed contract. Board (£30) and Accommodation (£33.11) allowances have already been deducted from this figure.

All bonuses (Contract Completion, Loyalty, Referral and Early Bird) and expense reimbursements are subject to successful completion of agreed contract unless stated otherwise.

All amounts are gross (pre-tax and National Insurance Contributions), weekly and subject to statutory deductions at current rates.
