Salary:   

Temporary position from June to August. Salary to be negotiated.

Purpose:   

To oversee the welfare of all students, both on and off site of the above school. This position involves working on weekends and other unsocial hours during peak season.

Organisational structure:

To be supported by all staff appointed to work at the above schools and operational departments of IELS Malta.

Job Description

The role of the Student Welfare officer is one of high responsibility, directly concerned with the welfare of foreign students. The above position requires an active yet mature and highly organised person, to take responsibility for the outcome of the students’ welfare both on and off site. The welfare officer must have a good command of the English Language and must be a native speaker of German, French, Italian, Spanish and/or Russian.

Qualifications

Candidates must have a good command of the English Language and speak at least one of the following languages: Spanish, French, Italian or Russian.

Responsibilities and tasks

  • To assist the Welfare co-ordinator in carrying out all tasks concerned with the setting up, administration and closing down of the Young Learners schools as advised by the line management.
  • To deal with and be responsible for all the individual welfare needs of every student of IELS Malta.
  • To prepare student details in advance of arrival (student ID cards and booklets), along with all relevant written information.
  • To welcome students on the first day of school together with the Welfare co-ordinator and other staff. To give a brief Welfare meeting to the Young Learners at the Gzira site.
  • To advise adult students on coping and dealing with unfamiliar situations and providing useful information sheets, in the absence of the Welfare co-ordinator.
  • To be on call on a 24 hour basis for any welfare problems.
  • To liaise with foreign group leaders with regard to the welfare of students in their charge.
  • To arrange any student accommodation moves, after consultation with the Welfare co-ordinator and Accommodation managers.
  • To evaluate student questionnaires and pass on relevant information to the Welfare co-ordinator.
  • To maintain Accident/Incident Book regarding any problems or illnesses to students.
  • To check young learner classrooms every morning when there are lessons, for student absenteeism.
  • To check activity attendance sheets, to ensure that all Young learners are on activities.
  • To obtain all contact details from Young Learners upon arrival
  • To arrange doctor/dentist/hospital appointments as required and accompany students accordingly.
  • To actively promote the welfare of IELS clients, including agents, students, and foreign group leaders at all times.
  • To ensure proper discipline is maintained throughout the duration of the programme.
  • To actively discourage students from engaging in improper behaviour, including sexual liaisons, bullying, rowdiness or any other activity which could be of harm to other students or bring IELS into disrepute.
  • To protect the property and equipment of the school premises and IELS and its neighbours, and report any loss or damage to the Welfare co-ordinator, maintaining security and avoiding loss and/or damage.
  • To assist when necessary in the Leisure programme, including accompanying Young Learner students on excursions.
  • To assess the Young learners residences, ensure all rules are being followed, man the IELS welfare desk, prepare for new arrivals, assist in student departures and carry out room checks to make sure that students are in their accommodation in time for bed.
  • To act in a professional manner with all IELS agents, clients and staff and not to engage in any activity which may bring IELS (or the above school or residences) into disrepute.
  • To ensure when not on duty, that the other Welfare officers are appraised of all necessary information.
  • To carry out any other duties as may be reasonable assigned by the Welfare co-ordinator and Leisure manager, including assisting the implementation of Quality Assurance measures and procedures.

Hours of work

The normal hours of work shall be from 8:30 to 17:00 from Monday to Friday with a half hour break for lunch. However the employee will be expected to work outside the normal office hours without being compensated and will be on call on a 24 hour basis for any welfare problems.  The employee shall also be entitled to two days vacation per calendar month pro-rata.
